Preparing for Your Class

Scheduling Your Class

Once your proposal to teach a class is accepted, you’ll work with your Century College program planner to schedule the class based on student needs and room availability.

Contracts, Agreements, and Payroll Materials

As the date of your class approaches, you will receive a packet of materials from our instructional support staff. This packet will include some or all of the following:

  • Continuing Education Employment Agreement(s)/Contract.
  • Audiovisual (AV) Request Form
  • Software/Hardware Request Form (computer classes only)
  • Century College map
  • Payroll packet (for new employees on payroll)
  • Paycheck/advice stub tips (for employees on payroll)

You should complete the forms and return them to the Century College Continuing Education and Customized Training Office as soon as possible.

AV Requests

An AV request form will be included in your packet of materials.

Requests must be made at least ONE WEEK in advance of your class start date. If at all possible, please return your AV request with your Continuing Education Employment Agreement/Contract.

If you are uncertain about how to use any equipment in the classroom, please schedule a training session with either Annette Mike at 651-779-3903 or the IT Help Desk at 651-779-3495.

Duplicating

Century College is happy to complete any duplicating required for your class.

  • All duplicating requests must be received TWO WEEKS in advance of the class start date. If we do not receive these materials two weeks in advance of the class, you will need to have them copied at your own expense. No copying facilities are available on campus for last minute duplicating, so please plan ahead.
  • You may forward your handouts for duplicating to Annette Mike, our Instructional Support Manager. Handouts may be e-mailed to her at annette.mike@century.edu or mailed to her at Continuing Education Customized Training, Century College, 3300 Century Avenue North, White Bear Lake, MN 55110.

Class Materials

The class attendance roster, duplicated materials, and class evaluation forms will be delivered to your classroom on the day or evening of your class. If you have a one-session class, Certificates of Completion will also be provided.

Classroom Keys

You will need to obtain a key to unlock your classroom, as all classrooms are locked when not in use.

Single-session classes

If you teach a single-session class, you may pick up a classroom key one-half hour prior to the start of your class at the Continuing Education office, room 2330, on the EAST campus. At the end of your class, please make sure that the room is locked. Place the key in the class materials envelope, along with the completed evaluation forms and class roster, and return them to the Continuing Education office, or after office hours, return to the switchboard operator. (On the EAST campus, the switchboard operator is located on the second level, just inside the main entrance. On the WEST campus, the switchboard operator is located just inside the MAIN entrance to the building).

Multiple-session classes

If your class runs for more than one session, your program planner will issue you a key that you will use for the duration of your class. At the end of your final class session, place the key in the class materials envelope, along with the completed evaluation forms and class attendance roster. Return them to the Continuing Education office, or after office hours, return to the switchboard operator (locations as above).

Product/Service Promotion

Century College policy forbids product or service promotions. Materials sold in the classroom need prior administrative approval. If you have questions, please contact Annette Mike at 651-779-3903 or annette.mike@century.edu

Checking Your Class Enrollments

****Your program planner has sole discretion in determining if a course will run. Please contact your program planner if you have questions.

You can your check class enrollments via the Internet through ISRS, the Integrated Student Records System. Enrollments in this system are updated every 24 hours.

  • You will need to have your Continuing Education Agreement in front of you. From this agreement, you will need the 6-digit number that begins with “00” in the upper right corner of the page.
  • Go to the Century College website at www.century.edu
  • Click on “Future Students” (top of the page)
  • Click on “Browse Courses (left menu, under “Explore Century”)
  • The “Basic Search” tab should be highlighted on this screen. Towards the bottom of the screen you will find the Semester and Course ID fields. Enter your 6-digit course number from your agreement in the Course ID field. If you have several courses that you would like to check, you may add up to 5 course numbers in this field.
  • Click on “Find These Courses”
  • The enrollment of the course is listed between the course title and “add to cart.”
  • If you would like additional details concerning the course, click on the title.

During Your Class

Plan to be in your classroom 30 minutes prior to the start of class.

Attendance

Check attendance at every class session.

If you have a student who is not listed on the roster, they may have registered the day of class or they are not registered yet.

Unregistered Students

If a student is not registered, direct the student to the Continuing Education Office, EAST Campus, room 2330, to register BEFORE attending class.

If this happens on a weekend, after 7:00 p.m. or at an off-campus location, you may use the extra registration forms in the packet of materials that has been left in your classroom. Students who have not registered yet, should complete the entire registration form. If they decline to give a social security number, they must give a date of birth.

Payment may be made by check (payable to Century College) or credit card. Enclose any registration forms with other materials (class attendance rosters, evaluation forms, etc.) in the materials envelope.

Certificates and Attendance Rosters

One-Session classes

Certificates are provided for all students on the class roster. At the end of your session, distribute certificates to students who want them. Return unclaimed certificates in the materials envelope, along with your class attendance rosters and class evaluations.

Students who registered on the day of your class will receive certificates in the mail.

Multiple-Session classes

Take attendance at each class meeting, using the class roster provided to you. In order to issue the correct number of hours, we must know how many hours the student attended class. We cannot award hours for classes that were not attended.

Place your attendance roster and student evaluation forms in the materials envelope provided and return to the Continuing Education Customized Training office located on the EAST campus room 2330, or return to the switchboard operator after office hours (On the EAST campus, this area is located on the second level at the main entrance. On the WEST campus, this area is located just inside the main entrance of the building). You should return this after your SECOND TO LAST CLASS. We will prepare certificates to be handed out during the last class. Should a student miss the last class, please return the certificate to the Continuing Education Office. We will adjust the number of hours earned and mail the certificate to the student.

In order to cut down on mailing expenses, PLEASE return your class roster after your second to last class. If you forget or are unable to drop off this list, please call Cindy Jahnke at 651-773-1797 to give staff attendance information over the phone. This process will still allow us to have the certificates ready for your last class. You may also fax the roster to 651--779-5802, attention Cindy Jahnke.

Class Evaluations

Evaluations are the primary method for students to provide feedback on the value of a course. Tallied results of certain portions of the evaluation are also required by Minnesota State Colleges & Universities (MnSCU.)

Please encourage all students to fill out the evaluation forms. Place these forms in the materials envelope, along with your class attendance roster and key (if you have been issued one).

AV Concerns

If you need assistance with the AV or computer equipment in your classroom, please go to the Computer Lab, EAST Campus room 1700 or WEST Campus room 1320. You may also contact the AV Help Line at 651-779-3495. If you are calling after 6:00 p.m., leave a voice message on the “emergency” option. These messages are checked immediately.

Heating and Lighting Concerns

From a campus phone, dial 0 for the switchboard operator. From your own cell phone, dial 651-779-3200 for the switchboard operator. The operator will contact maintenance staff.

Security

Using your own cell phone, dial 651-747-4000. From a campus phone, dial 4000.

Room Arrangement

You are welcome to rearrange the tables/chairs, but we ask that you return all equipment, tables, etc. to their original position at the end of your class.

Payroll and Contract Information

Instructors on Payroll

After you have returned your completed State of Minnesota payroll packet, you will be entered in the payroll system. Pay periods are listed on the payroll calendar included in your course materials or click here to link to the Payroll calendar.

  • For complete directions on how to access your pay stub electronically, visit the State of Minnesota Employee Self Service. You will need your employee ID.

Instructors Paid Through a Business or Sole Proprietorship

Emergency Procedures

Illness or Other Emergencies

Should an emergency arise that prevents you from conducting your class, please contact the Continuing Education Office at 651-779-3341 as soon as possible so that students can be notified. We encourage you to offer a make-up class, as your students will not receive partial refunds.

Weather Emergencies

Announcements regarding closing of state offices, including Century College, can be heard on WCCO Radio 830AM. An announced closure of state offices and agencies includes all Century College classes: credit, non-credit, and all classes held off-campus.

Closure is also announced on the Century College web site.
